The Digital Kamishibai Audit Board served as a pivotal tool within the manufacturing industry, providing a lean solution that effectively visualized data to enhance workers' comprehension of their tasks. This B2B solution enabled companies to tailor their audit processes, streamline operations, and elevate production standards.
During the project, my team and I were tasked to modernize the traditional Kamishibai Audit Boards into a digital format.
Collaborating closely with the Veryable design team and cross-functional team, I played a significant role in delivering defined user flows and high-fidelity prototypes to envision the product. The MVP design was successfully shipped in August 2023, garnering positive feedback from stakeholders.
What is Kamishibai Board?
Visual audit tools used in Lean manufacturing
They employ color-coded "pass or fail" flags, where complete tasks are indicated in green and incomplete ones in red. This system simplifies daily quality control management, promoting smooth process execution by engaging all team members.
The conventional Kamishibai board operates on a physical whiteboard and relies on manual data entry, resulting in a laborious and time-consuming data analysis process.
Additionally, the traditional cards lack clear instructions on how to complete tasks. This lack of clarity can lead to confusion among the auditor, potentially resulting in inconsistent execution of tasks or misunderstandings regarding expectations.
How might we create a digital method to optimize and simplify the audit process?
How might we create a digital method to optimize and simplify the audit process?
Standardize audit processes to ensure consistency and compliance.
Improve efficiency by streamlined audits process to save time and resources.
Clear expectations on completing each audit card to enhance efficiency
Offering digital solutions aligns with industry trend and adds value to clients, potentially boosting retention rates
I identified the pain points and emotions experienced by audit coordinators while using the Kamishibai board for audits. Then, I turned them into opportunities for the digital Kamishibai product.
The traditional Kamishibai board requires significant time and effort to create, adding to the burden of audit coordinators' busy schedules. The digital version should incorporate the following features to optimize and surpass the physical experience:
View audit cards with ease
Rapid Audit Assignment Creation
Analytics on Audit Pass and Fail Rates
View audit cards with ease
Audit Coordinator:
Create a simple way to create and assign audit cards and monitor progress
Auditor:
Guide to help auditors efficiently complete their assigned audit card
In the end, we opted for v2 because of its clear overview section for audit card data (on the right) and minimized color usage, resulting in a greatly improved visual representation. This guarantees that audit managers can effortlessly monitor all audit cards.
V2 was ultimately selected because it includes details on month, audit card counts, and auditor counts, and utilizes a list view format to accommodate more audit cards.
Through user testing, V2 demonstrated greater effectiveness due to the addition of the date and number of tasks needing completion. This update ensures that auditors are informed about their daily expectations.
The digital Kamishibai audit tool provides features that simplify audit creation, manage auditors, and facilitate performance data analysis.
The dashboard offers an overview of scheduled audits, indicating their completion status with green for done and red for pending. Audit coordinators can click on each audit to access details such as pass or fail status, assigned auditor, and due date.
The audit cards screen provides coordinators with an overview of all created cards, facilitating easy management.
Coordinators can add new audit cards by inputting questions, work areas, category, and uploading photos for clear instructions.
Auditors can create randomized audits by selecting audit cards and assigning auditors. They can also use filters like occurrences (daily, weekly, monthly), work areas, and categories to tailor audits to specific needs.
Auditors have the ability to analyze pass and fail rates in the audit data to identify trends for future improvements and to maintain consistent quality standards.
Mobile-friendly Audit Conducting Solution
A mobile web browser is customized for each auditor, allowing them to view all tasks scheduled for completion that day. The audit task cards offer clear instructions and photos on task completion, along with two options—yes or no—enabling auditors to quickly complete tasks.
The Kamishibai Tool MVP Design was successfully shipped in August 2023!
The onboarding feature was launched in September 2023! It has received positive feedback from both business users and stakeholders. New users express enthusiasm for the streamlined onboarding process, facilitating their transition to the new product. Existing business users highlight the effectiveness of banner onboarding in correctly setting up the portal and significantly enhancing productivity.
1/ Understanding the significance of the empty state
Having the opportunity to develop an MVP product offers thrilling creative freedom. While I was excited to create beautiful interfaces, I faced the challenge of addressing the often-overlooked empty state. This initial interaction point for users can greatly shape their perception of the product. This experience emphasized the importance of thorough consideration and thoughtful design in all aspects of UX, even seemingly minor ones.
2/ Navigating the Intimidation of Developing MVPs
Co-leading the initiative to create the digital Kamishibai board was challenging at first because there were no comparable products to reference. Despite this, I tackled the matter with commitment, conducting extensive research to further understand the problem space. As I learned more about the manufacturing organization and recognized user requirements, I gained confidence in my ability to contribute. Finally, I enjoyed having the capacity to create solutions for problems and find satisfaction in the design process.
